Privacy Policy

1. Who we are

Motion lyd is a lead-management service that helps businesses collect leads from intentional lead sources, understand those leads, contact them, and manage follow-up. In this policy, “Motion lyd,” “we,” “us,” and “our” refer to the operator of the Motion lyd service.

2. Information we collect

Account and business information

We collect information you provide when creating and managing an account, such as your name, email address, authentication information, business name, contact details, services, service areas, business hours, team information, and preferences.

Lead and contact information

At your direction, we receive and store lead information submitted through connected lead sources. This may include names, email addresses, phone numbers, form answers, campaign and form identifiers, service interests, qualification details, notes, and lead status.

Connected-service information

If you connect services such as Google/Gmail, Meta, Instagram, Facebook, or WhatsApp, we receive identifiers, authorization tokens, configuration information, lead-form submissions, and relevant communications permitted by the access you approve. The exact information depends on the service and permissions you choose.

Communications and AI features

We store communications sent or received through tracked Motion lyd conversations. When you use an AI-powered feature, we process the information needed to provide that feature, such as lead details, business settings, or a website-chat conversation.

Technical and payment information

We may collect device, browser, IP address, security, diagnostic, and usage information. Payments are handled by our payment provider; we do not store complete payment-card details.

Product analytics

We use Firebase Analytics to understand which pages and controls are used. Application events include normalized page paths and button action labels, not entered form values, email content, or customer record identifiers. Analytics may use cookies and device information. Our application tracker respects browser Do Not Track and Global Privacy Control preferences.

Public newsletter articles also use a first-party view counter. A random identifier stored in your browser is specific to an article and rotates daily, helping us avoid counting refreshes as new visits. The server stores hashed daily identifiers for deduplication and abuse limits, not your raw IP address or email address. This counter respects Do Not Track and Global Privacy Control.

3. How we use information

We use information to:

• provide, secure, maintain, and troubleshoot Motion lyd;
• capture and organize leads from sources you connect;
• match replies to known leads and tracked conversations;
• send messages that an authorized user chooses to send;
• answer new messages from linked Gmail, Messenger, and Instagram leads when the owner enables automatic replies for that channel, using relevant conversation and approved business context;
• provide summaries, qualification support, and suggested replies;
• manage accounts, subscriptions, support, and service notices;
• prevent fraud, abuse, duplicate events, and security incidents; and
• comply with legal obligations and enforce our agreements.

Motion lyd does not scan connected inboxes to discover unrelated leads. Unknown personal, vendor, newsletter, support, and unrelated messages are not turned into leads.

4. Google and Gmail data

When you connect Gmail, Motion lyd accesses the connected email address, authorization credentials, mailbox change identifiers, and the minimum message metadata needed to determine whether an incoming email belongs to a known lead or a tracked Motion lyd thread. For a matching message, Motion lyd accesses and stores relevant message content and thread identifiers so the reply can appear in the lead’s conversation. Unrelated messages are ignored and are not used to create leads.

Motion lyd uses the Gmail permission you grant to send emails that an authorized user chooses to send. If the owner separately enables Gmail automatic replies, relevant new lead emails and approved business context are processed by our AI provider to prepare and send a response in the same email thread. This is off by default, excludes automated mail and mailing lists, and can be paused per conversation. First-contact emails and follow-ups still require approval. We use Google data only to provide these visible email and lead-management features. We do not sell Google user data, use it for advertising, or use it to train or improve generalized AI models.

Motion lyd’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Meta, Facebook, and Instagram data

When you connect a Meta account, we use the permissions you grant to list and configure selected Pages, Instagram accounts, lead forms, and related webhook subscriptions. We receive lead-form submissions from forms you select. If messaging is enabled, we process messages only as needed to support connected business conversations and known leads.

We use this information to display leads and conversations in Motion lyd, prevent duplicate submissions, and support replies you choose to send. We do not sell Meta user data.

6. How information is shared

We may share information only in these circumstances:

• with service providers that host, secure, store, analyze, support, or deliver Motion lyd, subject to appropriate contractual controls;
• with Google, Meta, WhatsApp, email, or other connected providers when you direct Motion lyd to use their services;
• with authorized members of your Motion lyd business workspace;
• when required by law or reasonably necessary to protect rights, safety, security, and the integrity of the service; or
• in connection with a merger, financing, acquisition, or sale of assets, subject to applicable law and required notice or consent.

We do not sell personal information or share it with data brokers or advertising networks for behavioral advertising.

7. Data retention and security

We retain information while your account is active and as needed to provide the service, maintain legitimate business records, resolve disputes, prevent abuse, and meet legal obligations. Retention periods vary based on the type of information and why it is held.

We use administrative, technical, and organizational safeguards designed to protect information. OAuth credentials and other secrets are stored server-side, and connected-account tokens are encrypted. No method of storage or transmission is completely secure.

Newsletters and email preferences

If you subscribe, we send Motion lyd product updates, tips and offers through our email provider, Resend. We record your choice, when and where it was made, and delivery, bounce, complaint and unsubscribe events. You can change your personal newsletter preference in Settings or unsubscribe from any newsletter without signing in. Unsubscribing does not stop essential account emails or change your lead alert settings. We retain a minimal suppression record to respect unsubscribe requests and prevent further marketing to bounced or reported addresses.

8. Your choices and deleting your data

You may disconnect an integration from Motion lyd to stop future access. You can also revoke Google access from your Google Account or remove Motion lyd from your Meta business integrations.

To request access, correction, export, or deletion of your Motion lyd account and associated personal information, email support@motionlyd.com from the address associated with your account. Include “Data deletion request” in the subject. We may need to verify your identity and will respond within the period required by applicable law. Some information may be retained where legally required or necessary for security and dispute prevention.

9. International processing and children

Motion lyd and its providers may process information in countries other than where you live. Where required, we use appropriate legal safeguards for international transfers.

Motion lyd is a business service and is not directed to children. We do not knowingly collect personal information directly from children.

10. Changes to this policy

We may update this policy as the service or legal requirements change. We will post the updated version here, change the date above, and provide additional notice when required.
